These terms and conditions govern Your participation in any virtual event, webinar, meeting, seminar, conference or other digital product (the “Online Event”) which is owned and operated by Reed Exhibitions Limited (Company Number 00678540) whose registered office is at Gateway House, 28 The Quadrant, Richmond, Surrey TW9 1DN or any subsidiary of Reed Exhibitions Limited from time to time (“the Organiser”).

Online Event Registration

By registering for the Online Event, You agree to and accept these terms which form a binding legal contract between the Organiser and the registered delegate (“You”, “Your(s)” or “Delegate”). Please print these terms and conditions and keep a copy for Your records.

Your registration entitles You to access to the Online Event for which You have registered. Any and all costs associated with Your attendance shall be borne by You. The Organiser shall have no liability for such costs.

You will be sent a confirmation email once You have successfully registered for the Online Event. The confirmation email will contain important information regarding Your attendance at the Online Event including Online Event login/access information and it is Your responsibility to ensure that the email address that You provide on registration is correct.

Only pre-registered Delegates may attend the Online Event. You are not permitted to share, or transfer the Online Event login access link and/or code provided by the Organiser to any third party unless You have sought and obtained the express written consent to do so from the Organiser.

No one under the age of 16 will be able to attend the Online Event without the prior written approval of the Organiser.

Delegate Conduct

Delegates shall conduct themselves in an appropriate, professional and business-like manner during the Online Event. Offensive, abusive, or discriminatory language and/or behaviour is not permitted.

You acknowledge that the Organiser reserves the right to exclude, or remove Delegates from the Online Event if in its sole discretion the Organiser determines that Your behaviour in any way breaches these terms and conditions and/or is disruptive, or hinders the enjoyment of the Online Event by exhibitors, sponsors or other Delegates.

The Organiser’s decision is final and the Organiser accepts no responsibility or liability for any costs, claims, damages or expenses incurred by the Delegate in connection with such exclusion or removal.

Delegates are prohibited from making any form of recording (including audio or video) or taking screen shots or photographs of any part of the Online Event. You are prohibited from copying and circulating any materials, content or exhibitor, sponsor or Delegate lists provided by the Organiser at, or in relation to the Online Event except with the prior written consent of the Organiser, to be granted or withheld at the Organiser’s discretion.

Data Sharing

By choosing to attend any online educational seminars, Delegates will be allowing the Organisers to share their name and contact details with the seminar host/exhibitor and/or speaker who may be outside the European Economic Area and who may contact them about their products or services in relation to such sessions in accordance with their privacy policies.

Registration Fees

The payment of any applicable fee (together with any applicable taxes) for the Online Event is due in full at the time of registration and in any event prior to you accessing the Online Event. If such payment is declined for any reason, the Organiser may refuse to allow You access to the Online Event and shall have no liability to You in that regard.

Cancellation Policy

No refunds will be given if You cancel Your booking or fail to attend the Online Event. However, You may substitute another person in  Your place at no cost provided that this is notified to the Organiser no later than 48 hours prior to the Online Event.  If You are unable to attend the Online Event, You will need to send an email to the contact email address contained in Your confirmation email to request the attendance of a colleague. Your colleague will then be sent a request to register for the Online Event to enable them to attend.

Force Majeure

If the Organiser is delayed , hindered or prevented from hosting the Online Event as a result of a force majeure event (which means any act, event, omission or accident beyond its control reasonable control, including but not limited to strikes (save for its own workforce), lock-outs, failure of a utility service or transport or telecommunications network, software failure, act of God, epidemic, pandemic, World Health Organisation travel advisory or travel alert, war, riot, civil commotion, malicious damage, accident, government and / or local authority restraints, regulations or orders, fire, flood, or storm) the Organiser may cancel or postpone the Online Event.

If the affected Online Event is cancelled or postponed as a result of a force majeure event, the Organiser will reschedule the Online Event and Your registration fee (if any) will be rolled over to the rescheduled Online Event.

If the Organiser cancels the Online Event for any reason other than in relation to a force majeure event, You shall be entitled to a refund of any registration fees paid less any applicable administration fee as advised by the Organiser.

Online Event Content

All rights in all presentations, materials and documentation published or otherwise made available as part of the Online Event (including the Online Event name, logo exhibitor, sponsor and Delegate lists) (“Content”) are owned by the Organiser, or are included with the permission of the owner of the rights. No (i) photography, filming or recording; or (ii) republication, broadcast or other dissemination of the Content is permitted. You shall not distribute, reproduce, modify, store, transfer or in any other way use any of the Content (save that use by the relevant Delegate for internal business purposes shall be permitted), and in particular (but without limitation) You shall not:

  • upload any Content onto any website, intranet or shared system or include any Content in a database;
  • transmit, re-circulate or otherwise make available any Content to any third party;
  • use the Content in any way that might infringe third party rights or that may bring the Organiser into disrepute; or
  • make any commercial use of the Content.

To the extent that any Content is published online by the Organiser, the Organiser reserves the right to remove or suspend access to such Content at any time.

The Organiser is not responsible for the Content of any speaker’s presentation; such Content is the opinion of the speaker and not of the Organiser.

Indemnity

You agree to indemnify, defend and hold harmless the Organiser and its officers, directors, employees agents and affiliates from all damages, liabilities and expenses (and all legal costs including reasonable lawyers fees, court costs, expenses and settlements resulting from any action or claim) arising out of, connected with or resulting in any way from any act or omissions by You or Your negligence during your attendance and participation in the Online Event or otherwise in relation to the Online Event.

Liability

The Online Event is delivered over the internet, and accordingly, is subject to limitations, delays, and other problems inherent in the use of the internet and electronic communications. The Organiser shall not be responsible for any delays, delivery failures, viruses, hacker intrusions or other damage resulting from such problems.

To the fullest extent permitted by law, the Organiser’s aggregate liability to You, whether such liability arises in contract, tort (including negligence) or otherwise, for any damages, loss, costs, claims or expenses of any kind howsoever arising, out of or in connection with any Online Event booking (or requested Online Event booking) made by You or otherwise in relation to the Online Event, shall be limited to the amount of the Delegate’s paid registration fee.

The Organiser will not be liable under contract, tort or for breach of statutory duty or otherwise with reference to any matter arising directly or indirectly out of or related to any Online Event booking (or requested Online Event booking) made by a Delegate or otherwise in relation to the Online Event, for any indirect, consequential, incidental or punitive loss, damage or liability or for loss of profits, loss of business, loss of use, loss of data and loss of reputation.

Nothing in these terms and conditions shall limit or exclude the Organiser’s liability for death or personal injury caused by its negligence.

Data Protection

By registering for an Online Event, Your registration details will be available to the Organiser and its affiliates to deliver the Online Event as well as to contact You with information about similar events and services in accordance with the Organiser’s Privacy Policy which can be found here: https://privacy.reedexpo.com

General

The Organiser reserves the right in its sole discretion to vary any aspect of the Online Event, including but not limited to the Online Event content, programme, speakers, dates and times. Any such changes shall be made available on the Online Event’s web page.

These terms and conditions may be amended by the Organiser from time to time. Any such changes will be displayed on the Organiser’s Online Event’s web page.

If any provision (or part of a provision) of these terms and conditions is found by any court or administrative body to be invalid, unenforceable or illegal, the other provisions shall remain in full force and effect.

These terms and conditions shall be governed by English law and shall be subject to the exclusive jurisdiction of the English Courts.
